Your Specific Responsibilities:

This is a clerical support position for the Nurse Family Partnership program: 

  • This position provides clerical support to Nurse-Family Partnership (NFP) team and reports to the NFP Nurse Supervisor. Inputs NFP data in a timely and accurate manner into the web-based information system (FLO’) and various other client tracking systems, including HMS. Complies with or assists in compilation of statistical information for special reports. Meet grant goals and objectives, programmatic and funder requirements, and licensure as applicable. Maintains standards and applicable regulations for personnel, medical records management, and programmatic/funder requirements. Maintains confidentiality and adheres to HIPAA regulations. Registers clients into HMS and FLO.
  • Performs program support tasks such as organizes forms, photocopies, files, orders and maintains program materials and educational handouts. Makes reminder calls for visits as requested by the supervisor and Nurse Home Visitors.
  • Performs general clerical functions such as sorts, routes and distributes mail. Prepares typed material from typed or handwritten copy. Prepares correspondence, reports and other documents. Tracks program expenditures for assigned budget. Completes ordering and purchasing of supplies via and Purchasing and P-Card System. Complies with or monitors the mandatory requirements in Section 215.422, FS, and Chapter 69 1-24 of the FAC for processing goods and invoices. Maintains inventory for supplies, brochures and other necessary items for program operation.
  • Acts and sets up case files, runs labels for client files, performs abuse registry checks through Florida Safety Family Network. Types correspondence, travel and completes special projects.
  • Utilizes computerized data entry equipment and various word processing, spreadsheet and file maintenance programs to enter, store and/or retrieve information as requested or otherwise necessary and summarizes data in preparation of standardized reports.
  • Compiles a variety of resources. May participate in community outreach activities such as distributing program brochures, retrieving client referral as delegated by the supervisor. Maintains general knowledge of program requirements and activities.
  • Meets regularly with supervisor to discuss issues, opportunities and provide input. Supports the team to ensure the flow of work activities. Participates in regular staff meetings.
  • Attends training to promote professional and personal growth.
  • Other related duties: (i.e mandatory requirements to serve during and after natural disasters which could include manning special needs shelter) within specified time frames

Required Knowledge, Skills, and Abilities:

  • HMS/Healthy Management Services experience.
  • Ability to proficiently operate a personal computer for data and accompanying software.
  • Knowledge of general office procedure and practices.
  • Ability to prepare reports and correspondence.
  • Ability to correct spelling, punctuation, and grammar.
  • Ability to proofread data and typed material for errors and to make necessary corrections.
  • Ability to read, speak, and write English fluently.

Qualifications:

Minimum –

  • One to two years of experience working in a professional clerical/administrative role.
  • One to two years of experience using various professional computer programs including e-mail, the Internet, and Microsoft Office.
  • At least two years’ experience in answering phones in a business setting. At least two years of experience working with the public.
  • Fluency in English to include reading, writing, and speaking.
